mallowstreet launched SOFI this summer. It is an AI tool designed to help save time, check messaging, improve delivery, monitor performance and capture questions. Despite being part of the team that built it, I only started actively and regularly using SOFI in the last two months. I wish I had started much sooner, so I asked myself why I did not. Given how long habits take to form, I realised I needed an immediate use case – so here are some ideas. 
 

Forming a habit by focusing on the most immediate use case

 
My first SOFI meeting took place in August, so it definitely took me a while despite being an early adopter of ChatGPT. But if it takes around two months to build a new habit, I am certainly over that line now – and record the majority of my meetings in SOFI, both internal and external.
 
The way I got myself started was by focusing on my most immediate use case for SOFI. For me, it started with internal meetings. I quickly realised that leaving the notetaking to SOFI makes me much more present and engaged during the meetings – and allows me to focus on the big findings and key action points. I no longer worry about documenting detail.
 
 

‘Campaigns’ are folders – so I can group recurrent internal meetings

 
I am part of the leadership team at mallowstreet, and we meet every week to discuss the ongoing running of the business, as well as innovation ideas. Because there are common topics recurring in our leadership team meetings, it is most convenient to keep these meeting notes in one ‘campaign’ as SOFI calls it, i.e. a folder
 
It makes it easy to refer back to previous conversations and the topics we explore as a team, especially if some of us attend external events and miss these weekly meetings on occasion. I also increasingly rely on SOFI to keep track of how follow-up tasks are allocated. This is especially useful to ensure progress on next steps.
 
 

Use ‘campaigns’ to group external meetings with a common goal 

 
At mallowstreet, I am also part of a team helping the company grow its footprint in the insurance industry. My colleagues and I often meet with new contacts and record our conversations, in our ongoing effort to deeply understand the industries we serve. We of course ask for permission to record the meetings and process them with SOFI - and so far just one person asked us not to.
 
 
Having all the conversations in one ‘campaign’ (or folder) also allows us to keep track whether we are consistently asking the right questions and building our knowledge on how insurance assets are invested.
 
 

Check the action points for each team member 

 
Finally, we no longer miss any of the follow-up after each meeting. SOFI keeps track of action points, as well as who we agreed would undertake them. This way, we never drop the ball anymore, and always answer all client questions promptly.
